Purpose of the Position:

To provide administrative coordination and support to the Plant Manager, as well as operations and functional departments at the Canton, New York Corning Plant. Front facing role that serves as the initial contact to provide welcoming, helpful assistance to employees, visitors, and customers both in person and on the phone.

 

Day to Day Responsibilities:

  • Answers phone, greet customers, route calls to appropriate staff.
  • Create and administer budget plans for plant donations and Corning Foundation community grants.
  • Assist with data entry, filing, and other clerical tasks to maintain an organized workflow and access to information.
  • Fulfill the role as the plant’s Trusted Agent and Data Steward, comprising of the generation and oversight of employee personnel records and transactions.
  • Ensure adherence to administrative processes, practices and operations so that a consistent standard of support is delivered.
  • Main point of contact for in-coming communication.
  • Executive Support for Plant Staff.
  • Facilitates visits and provides helpful and welcoming assistance to Visitors and Customers.
  • Acts as an information source on organization policies and procedures.
  • Coordinates events and activities, including plant reviews, engineering reviews, audits, annual service luncheon etc. Includes booking conference rooms or venues, managing schedules and agendas, coordinating catering, room arrangements, and overall event logistics.
  • Provide project coordination for annual budget process, client presentations, plant review.
  • Implements standard procedures and proposes modifications to improve workflow.
  • Builds rapport through interactions with managers, supervisors and employees.
  • Responsible for reporting of data contained in the HR Systems (Monthly reports, Headcount, Monthly worked hours for safety).
  • Prepare reports and documents for People Meeting, report out on R-1 and any announcements needed for supervisors.
  • Hourly payroll transactions, track step increases and ensure timely entry.
  • Coordinate monthly communication meetings: book training center, communicate and follow up with presenters, prepare slides and presentation, send meeting invites.
  • Recognition tracking: outstanding report for People Meeting and budget report for supervisors.
  • Summer Interns – active role in ensuring a positive welcoming intern experience. Participate in all intern meetings and activities, monitor and complete weekly intern announcements.
  • Enter new hires, terminations, position changes, wage changes, leaves and all HR related transactions accurately and timely in True Blue.
  • Enter schedule changes accurately in True Blue and Kronos.
  • Assist employees with safety shoes, issue shoe vouchers and use Grainger account.
  • Initiate, ensure completion and filing of signed new hire checklist. Complete all items on new hire checklist flagged for HR Data Steward and/or Plant Administrative Assistant.
  • Initiate, ensure completion and filing of signed exit checklists. Initiate exit checklist as soon as resignation notice is submitted.
  • Create new hire agenda, personnel file, timely communication with new hire and ensure positive onboarding experience for salary and hourly new hires.
  • Create and post bulletins, announcements, Holidays etc.
  • Employee Recognition: Employee gifts, memorial donations, baby gifts, coordinate retirement picture and cake, plant wide luncheons etc.
  • Monitor expenditures; make necessary purchases, process expenses, and allocate charges to appropriate accounts.
  • Act as the Local Training Coordinator at the plant, recording training attendance and ensuring compliance.
  • Works with marketing on Corning articles and press releases.
  • Be an active member in various Plant teams and projects, including United Way.
  • Community Support – Participate and recruit employee involvement to volunteer in local community events.
  • Other projects assigned as needed.

 

Education, Skills and Experience Preferred:

  • Associate’s Degree with 2+ years of relevant work experience
  • Must have strong attention to detail.
  • Requires ability to troubleshoot and problem solve using available resources.
  • Able to handle sensitive information in a confidential manner.
  • Ability to quickly prioritize and re-prioritize work streams.
  • Able to initiate and manage multiple tasks and projects as necessary.
  • Ability to work across all levels of the organization.
  • Strong analytical/report creating skills (e.g. the ability to query, run reports, sort data and analyze results)
  • Demonstrated process development for repeatable results and sustained improvement.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
  • Must have strong customer service skills and carry themselves with a high level of professionalism.
  • Must be proactive and self-motivated, but also comfortable to work as part of the team.

The range for this position is $45,538.00 - $62,615.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position are dependent on hours worked and may include medical, dental, vision, 401(k) plan, pension plan, life insurance coverage, disability benefits, and PTO.
