Scope of Position (i.e. projects involved with and role within group): Administrative support for the S&T research directors of Characterization Sciences. Member of the directorate Admin Team providing support to directorate members in areas of administrative expertise. (For example: DARM, SharePoint, travel) Provide back-up support and coverage for the other Admin Team members.

 

Day to Day Responsibilities: Supporting the 2 Directors:

• Calendaring

• Telephone coverage

• Maintain files adhering to DARM standards

• Global travel arrangements including all international requirements

• Assist with expense report submissions

• Assist in documentation/presentations (e.g., PowerPoint files or email)

• Act on email and calendar requests as appropriate

• Scheduling and support of staff meetings including agenda setting

• Assist in tracking ARs and capital spend for directorate budget with information from the Global Lab Support Team

• Distribution and tracking of approvals for HR, Finance, IP, etc.

• Provide support of annual performance review process

• Compile period report details including documentation tracking

• Assist with compiling Talent Review documentation

• Develop a strong network with S&T Admins and the APN (Administrative Professional’s Network) to enable the directors to work efficiently and effectively with their peers

• Act as the information resource on company policies, key contacts and directorate norms for all directorate employees

• Handle confidential business and employee information with discretion Supporting the directorate members:

• Support the directorate Space Planning Team working with S&T Operations to manage laboratory and office space requests, moves and new space acquisition according to an overall directorate plan

• Records Management Team member, SME for directorate DARM activities

• BOX administrator/owner for directorate site and department sub-sites

• Provide administrative support to the directorate Managers Team including meeting scheduling, task alerts, note-taking as requested, presentation compilation for key meetings with business leaders

• Member of the directorate Admin Team coordinating administrative tasks with 2 other administrative assistants including hiring and onboarding support activities, lab tour requests, international travel assistance, training directorate members to effectively use the latest Workforce Productivity tools such as video/audio conferencing (WebEx), BOX, Microsoft Office, SharePoint

 

Travel requirements (please note if international): Travel not typically required for this position Hours of work/work schedule/flex-time: 8am – 5pm Monday – Friday coverage

 

Education and Experience (minimum required for consideration):

• Associate Degree or higher in a business-related area or demonstrated equivalent work experience

• 2 or more years administrative assistant experience

• Corning Incorporated experience is a plus

• Experience scheduling with multiple calendars using MS Outlook

• Experience with small project management

• Professional certifications (for example: IAAP Administrative Professional)
