Role Purpose

Provides comprehensive administrative support to the Director and the overall Thin Films and Coatings capability organization. This role is critical in maintaining a positive, efficient and well-coordinated environment and acts as the primary point of contact for the team. The successful candidate should be comfortable working in a dynamic environment with a highly diversified group of scientists, engineers & technicians.

Key Responsibilities

  • Manage complex calendaring and administrative support for a Director and leadership team.
  • Coordinate domestic and international travel, including detailed itineraries and documentation.
  • Ensure calendars reflect key business deadlines, deliverables, and priority events.
  • Prepare meeting agendas and leadership‑level presentations.
  • Support facilitation of leadership meetings and events.
  • Compile safety, compliance, and intellectual property reporting inputs.
  • Maintain organizational charts, distribution lists, and team records.
  • Process expense reports and monitor timely task completion.
  • Manage logistics for meetings, vendor visits, tours, and small customer engagements.
  • Plan and coordinate offsite meetings, recognition events, and team‑building activities.
  • Maintain team SharePoint sites, including access permissions and content updates.
  • Partner with HR to support employee processes and annual talent activities.
  • Build and maintain dashboards to support portfolio and resource visibility.
  • Serve as administrative liaison for vendors and contract workforce partners.
  • Collaborate with administrative partners to ensure seamless coverage and support.

Experiences/Education - Required

  • AAS degree in business or equivalent work experience.
  • Strong computer skills.
  • Proficiency in Microsoft Office, SharePoint.
  • Handles confidential information with discretion.
  • Strong interpersonal, verbal, and written communication skills.
  • Build and maintain professional relationships.
  • Demonstrates professional presence and demeanor.

  • Professional, courteous, positive attitude; Highly organized; Able to work in fast-paced environments.
  • Ability to prioritize and handle multiple tasks simultaneously, work efficiently and effectively in a dynamic environment.
  • Proactive, demonstrated ability to take the lead and influence the outcome.
  • Eager to take on additional responsibilities outside normal scope of position.
  • Ability to learn new software applications (e.g. Concur, ETAD).

The range for this position is $62,786.00 - $86,332.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
