SCOPE/PURPOSE OF POSITION
Provide administrative support to the Advanced Optics Leadership team and their organizations in the business in an efficient, proactive, and quality manner.
ROLES AND RESPONSIBILITIES
• Manage AOLT and assigned staff calendars, including scheduling appointments and meetings with internal and external stakeholders.
• Provide general administrative support, including document preparation, phone coverage, filing, mail handling, and email management.
• Coordinate complex travel arrangements, including itineraries, agendas, visas, and supporting documentation.
• Coordinate customer meetings, travel, and logistics for visitors and staff, including messaging, accommodations, tours, meals, and related arrangements.
• Coordinate facility and customer visits, working with on-site coordinators to manage logistics, submit visitor information in the SAFE system, and set up guest Wi Fi access.
• Coordinate departmental events and activities.
• Maintain AO SharePoint content for appropriation requests and financial reporting, implementing updates as required.
• Establish and maintain accurate hard-copy and electronic files for the director.
• Prepare PowerPoint presentations, reports, and data visualizations.
• Maintain and update distribution lists, contact lists, and location information.
• Prepare and manage restricted and confidential documents.
• Maintain and order office supplies within budget guidelines.
• Support financial and operational processes including coordination of capital projects, asset counts, OPEX activities, and departmental and project workflows in PeopleSoft.
• Provide administrative support for PeopleSoft requisitions, including data entry, routing for approval, and status tracking.
REQUIRED SKILLS
• Associate of Applied Science (AAS) degree in a business-related field or equivalent work experience.
• Demonstrated record of successful performance in prior roles.
• Strong knowledge of computer software and smartphone technology.
• 5+ years of experience as an administrative assistant.
• Exercise a high level of discretion, integrity, and confidentiality.
• Consistently positive and courteous attitude.
• Be proactive, take initiative, anticipate needs, and influence outcomes.
• Maintain composure and deliver high-quality work under tight deadlines.
• Proficiency in Microsoft Office (Excel, Word, PowerPoint) with strong overall computer skills.
• Ability to work effectively both independently and as a team player.
• Strong attention to detail and conscientious work habits.
• High level of interpersonal skills, including tact, patience, flexibility, and courtesy.
• Professional and articulate written and verbal communication skills.
• Ability to establish and maintain effective relationships at all levels within a global organization, building trust and respect.

• Willingness to take on additional responsibilities beyond the normal scope of the position.
• Ability to prioritize and manage multiple tasks efficiently in a dynamic, unstructured environment.
• Experience with SharePoint.

The range for this position is $62,786.00 - $86,332.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
