Day to Day Responsibility  

•    Security Management
-    Supervise the daily activities, attendance, conduct, and performance of security guards.
-    Ensure security posts are properly staffed, and shift handovers are completed.
-    Monitor access control, visitor registration, vehicle movement, patrols, CCTV system and key management.
-    Review security logbooks and promptly report incidents or unusual activities.
-    Coordinate emergency response, drills, and escalation procedures.
-    Liaise with the security service provider regarding staffing, training, uniforms, and performance issues.
-    Verify that guards follow company security policies and standard operating procedures.
•    Cleaning and Housekeeping Management
-    Supervise cleaners and monitor attendance, work schedules, and performance.
-    Conduct routine inspections of offices, washrooms, meeting rooms, common areas, and outdoor spaces.
-    Ensure cleaning tasks are completed according to agreed schedules and hygiene standards.
-    Monitor stocks of cleaning materials, washroom supplies, and consumables.
-    Coordinate deep cleaning, pest control, waste disposal, and other hygiene-related services.
-    Report maintenance or safety issues identified during inspections.
-    Follow up with cleaning contractors on service gaps and corrective actions.
•    Canteen Monitoring
-    Coordinate with the canteen vendor to resolve complaints and service issues. 
-    Monitor the cleanliness, hygiene, safety, and general operation of the canteen.
-    Check food handling, storage, preparation, serving areas, and staff hygiene.
-    Ensure meals are served on time and according to agreed menus and service standards.
-    Monitor food quality, portion sizes, pricing, and employee feedback.
-    Verify that required health, food-safety, and sanitation standards are followed.
-    Maintain inspection records and escalate serious hygiene or safety concerns.
•    General Administration
-    Serve as the main contact window for communication and coordination with the industrial park management office, including notices, regulations, inspections, facility services.
-    Manage employee and visitor parking arrangements, including parking-space allocation, vehicle registration, parking permits, access cards, and parking records.
-    Assist with office meetings, visitor reception, emergency drills, employee welfare initiatives, and other administrative arrangements.
-    Support in planning and implementing culture-building and internal communication initiatives.
-    Provide administrative coordination and on-site support for major plant events, celebrations, and special programs.
•    Other jobs assigned by manager.

 

Education & Experience  

-    Bachelor’s degree in business administration, office management, or a related field.
-    At least 10 years of experience in office administration, or general affairs, multinational companies’ experience is preferred.
-    Experience supervising outsourced security, cleaning, or catering services is preferred.
-    Basic knowledge of workplace health and safety, physical security, hygiene, and food-safety standards.

-    Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
-    Fluent in both oral & written English is preferred.
