Role Purpose

Be responsible for supporting daily warehouse operations through accurate data collection, reporting, inventory monitoring, and process analysis. This role plays a key part in improving warehouse efficiency, inventory accuracy, and operational performance by analyzing warehouse data, identifying issues, and supporting continuous improvement initiatives. In addition, the Warehouse Specialist also assists in routine warehouse coordination, documentation control, and inventory-related activities to ensure smooth warehouse operations.

Day to Day Responsibility

  • 1. Warehouse Data Collection and Reporting
    •    Collect, update, and maintain warehouse operational data, including inbound, outbound, inventory, stock movement, picking, packing, shipping, and productivity records.
    •    Prepare daily, weekly, and monthly warehouse reports and performance summaries.
    •    Monitor key warehouse KPIs and highlight abnormalities, trends, and potential risks in a timely manner.
    2. Data Analysis and Improvement
    •    Analyze warehouse operational data to identify inefficiencies, discrepancies, delays, and opportunities for improvement.
    •    Conduct root cause analysis on inventory differences, shipment issues, process bottlenecks, and operational exceptions.
    •    Provide data-based recommendations to improve warehouse productivity, inventory accuracy, and service level.
    •    Support warehouse improvement initiatives, including workflow optimization, layout improvement, reporting enhancement, and process standardization.
    •    Track and follow up on corrective and preventive actions related to warehouse performance issues.
    3. Inventory Control and Stock Monitoring
    •    Assist in monitoring stock movement and inventory status to ensure accuracy and proper control.
    •    Investigate inventory discrepancies and coordinate with relevant teams for resolution.
    •    Monitor slow-moving, excess, damaged, or obsolete inventory and report findings to management.
    4. Operational Support
    •    Support daily warehouse operations by coordinating documentation, data verification, and transaction records.
    •    Assist in inbound and outbound process control to ensure timely and accurate system updates.
    •    Verify shipping, receiving, and inventory documents to ensure completeness and consistency.
    •    Support warehouse supervisors or managers in tracking work progress and operational issues.
    •    Assist in maintaining warehouse operation records and standard documents.
    5. System Maintenance and Documentation
    •    Ensure accurate transaction entries in ERP, WMS, or other warehouse-related systems.
    •    Support system data verification and reconciliation between physical stock and system inventory.
    •    Prepare and maintain warehouse SOPs, reports, logs, and analysis documentation as required.
    •    Assist in improving reporting tools, document formats, and data management processes.
    6. Compliance, Safety, and Housekeeping Support
    •    Support compliance with warehouse procedures, company policies, and operational standards.
    •    Follow safety regulations and support warehouse safety initiatives and audits.
    •    Participate in internal audits, stock audits, and process reviews when required.
    7. Other jobs assigned by manager.

Experiences/Education - Required

•    Bachelor’s degree or above in Logistics, or related fields
•    3+ years of relevant experience in warehouse operations, inventory control, logistics coordination, or warehouse data analysis.
•    Familiar with warehouse processes, inventory management, and warehouse performance indicators.
•    Good data analytical skills.
•    Strong attention to detail and accuracy.
•    Good logical.
•    Self-motivated and quick learner.
•    Good written English
•    Proficiency in Microsoft Excel; experience with ERP/WMS systems is preferred.

Experiences/Education - Desired

  • Knowledge of Power BI, SQL, or other data analysis/visualization tools is an advantage.
