The Global Supply Management (GSM) Function is recognized as a critical function for business success.  It delivers the training, tools and opportunities needed to create innovative solutions for the function & the corporation.  GSM has leading edge, effective processes to anticipate and exceed customer requirements.

Job Responsibilities:

  • Investigates product costing questions in the PeopleSoft supply chain system for the Kennebunk facility.
  • Provide administrative and operational support to the Procurement function at the Kennebunk plant.
  • Compiles information and records to prepare purchase orders for procurement of material.
  • Verifies daily that approved purchase orders were automatically dispatched to suppliers. Make corrections, as required.
  • Verifies nomenclature and specifications of purchase requests.
  • Search internet and interviews suppliers to obtain prices and specifications.
  • Writes purchase orders and sends copy to supplier and department originating request. Obtains specifications from Incoming to accompany purchase orders.
  • Confers with suppliers concerning late/due orders.
  • Compares prices, specifications and delivery dates and awards contract to bidders or places order with suppliers.
  • Verifies bills from suppliers with bids and purchase orders and approves invoices for payment.
  • Classifies priority regulations.
  • Manages purchase of inventory, office supplies and product labeling / packaging. Manages and maintains replenishment system.
  • Notifies Suppliers of return-to vendor items.
  • Submits Return to Vendor Transactions for returns.
  • Obtains Certificate of Compliance, Certificate of Insurance and Non Disclosure Agreements to accompany products as requested.
  • Assists with new product implementations, as required.
  • Follows-up with suppliers on order deliveries.
  • Answers plant questions concerning the status of all requisitions and Purchase orders issued.
  • Issues reports as required from the PeopleSoft data base for Supplier management.
  • Answers supplier queries relative to orders, deliveries or other issues relative to the products and services and deliveries.
  • Assists with all supplier corrective action requests and all other correspondence to suppliers and other groups within and without Kennebunk.
  • Submit Certificates of insurance and NDA’s into Ariba as required
  • Work with MDM team to submit required documentation for new vendor setups as required
  • Assist with submissions for all savings tracker entries into Ariba as required

Travel Requirements:

  • Minimal travel required (less than 5%)

Hours of Work:

  • Regular office hours (Monday - Friday)
  • 40+ hours per week

Required Education:

  • AAS degree in supply chain, business, or related fields preferred

Required Years and Area of Experience:

  • 2-5 years relevant work experience
  • Experience with procurement processes and systems

  • Proficient in Microsoft Office software (Excel, Word, PowerPoint)
  • Ability to collect and analyze data
  • Effective communicator both oral and written
  • Ability to multi-task and effectively prioritize to complete day-to-day responsibilities
