Role Purpose

We are seeking a proactive, adaptable Administrative Assistant to support senior leadership within Measurement & Controls (M&C). This role requires strong organizational skills, comfort with technology, and the ability to manage multiple priorities in a fast‑paced environment. The assistant will play a key role in enabling team efficiency, improving processes, and supporting collaboration across MT&E.

Key Responsibilities

  • Provide administrative support to M&C leaders (calendars, meetings, travel, onboarding).
  • Deliver coaching, quick-start sessions, and digital skills training.
  • Work cross‑functionally to understand needs, build solutions, and manage small project timelines.
  • Communicate progress and proactively identify process improvements.
  • Plan and execute department and MT&E events, managing logistics and coordination.
  • Create PowerPoint decks, visual summaries, spreadsheets, and simple Power BI reports.
  • Occasionally present information to groups at various organizational levels.
  • Manage ETADs, contractor workflows, and Fieldglass proxy approvals.
  • Process PeopleSoft POs, track office supplies, and serve as SPITS Coordinator.
  • Handle space allocation, maintenance requests, and DARM recordkeeping.
  • Coordinate IT requests, e‑tads, and workspace setup for new hires.Provide backup support and collaborate with other departmental admins.
  • Maintain SharePoint and MS Teams sites and support Microsoft 365 tools (Teams, Forms, Lists, SharePoint).
  • Support internal meetings and trainings with materials, scheduling, and setup.
  • Maintain process documentation and stay current on corporate tools and technology updates.

Experiences/Education - Required

  • AAS in Business Administration (or equivalent experience).
  • Administrative experience with strong computer/technology skills.
  • Proficiency in Concur, PeopleSoft, and Microsoft 365 (SharePoint, Teams, Lists, Forms, Excel, PowerPoint).
  • Strong visual communication and presentation design skills.
  • Strong communication (written and verbal) across all levels.
  • Ability to manage multiple priorities in a dynamic environment.
  • Skilled in creating presentations and reports.
  • Fast learner with strong problem‑solving and resourcefulness.
  • Ownership mindset, initiative, and commitment to quality work.

Experiences/Education - Desired

  • Experience planning events end‑to‑end.
  • Ability to craft clear narratives and facilitate discussions.
  • Strong judgment, discretion, and relationship‑building abilities.
  • High attention to detail and customer-focused mindset.
  • Effective independently and as part of a team.

The range for this position is $62,786.00 - $86,332.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
