Scope of Position:

  • Serve as a Project & Portfolio Management contact to assist project managers in marketing and communicating their project objectives, financials, timelines, and accomplishments.
  • Serve as a central point of contact both internally within the Information Technology division and externally to the businesses, as necessary, to communicate project deliverables and successes.
  • Design collateral and develop marketing materials that support and recognize project efforts, encourage IT and business partner discussions, and communicate key project milestone data.
  • Collaborate with the Project Management Office to develop content for various communications avenues, such as Communications Meetings, BlueLine, and Brown Bag sessions in the form of presentations, videos, graphics, metrics, newsletters, brochures, posters, project information sheets and other promotional materials.
  • Develop ideas, write and edit content for internal and external audiences
  • Collaboration with other cross-functional areas within Information Technology, such as Communications and Employee Experience.
  • Promote socialization of new Project & Portfolio Management strategy
  • Project Management Community of Practice reestablishment and facilitation of Center of Excellence
  • Perform search for project managers, project analysts, quality analysts, and PMO resources proactively. Responsible for recruiting, arranging and participating in interviews, working with third party vendors to secure resources, onboarding, revisions, talent assessment prior to and after project completion, offboarding, and communicating status to PPM leadership and coaches.
  • Schedule and facilitate PPM talent reviews quarterly with Project & Portfolio Management Leadership and Director of Transformation Office
  • Collaboration with Transformation Office to determine resourcing requirements and staff appropriately as business conditions and project demand requires
  • Facilitator of the talent acquisition process for the PPM
  • Close coordination and collaboration with Information Technology Human Resources contact to ensure strategic alignment
  • Development of metrics and reporting analytics as it pertains to PPM current resourcing status, prior trends, and future demand
  • Process documentation for global PPM talent acquisition, in close collaboration with EMEA and AP resource managers

 

Day-to-Day Responsibilities:

  • Write, edit, and communicate content that will be used across various tools for internal and external audiences
  • Engage with project managers to build communications data for brochures, graphics, posters and other materials that support PPM projects and initiatives
  • Coordinate with corporate communications and the employee experience team as needed to ensure content is approved and ready for distribution
  • Develop messages, build content, serve as PMO representative as appropriate to communicate success of our projects
  • Plan events such as Brown Bag sessions, lead meetings and manage project communications for distribution, such as newsletters and presentations.
  • Establish project spotlight forum to recognize one project at a time for a specific duration.
  • Create and adhere to communications plans for projects and strategy
  • Create project template to promote consistent communication across all projects to IT and to the businesses
  • Facilitate weekly resourcing meeting with PPM leadership and coaches
  • Update and maintain global headcount reports
  • Maintenance of work order spreadsheet for accuracy, proactively working in tandem with PPM leadership on work order extensions and closures.
  • Submitting all Fieldglass time approvals and expense sheet approvals in a timely manner and following up on all cost center updates

 

Required Education/Experience:

  • Bachelor’s degree or experience in a communications-related field or human resources.
