Role Purpose

The Order Planning Specialist will manage and execute the end‑to‑end order planning and fulfillment process to ensure orders are reviewed, coordinated, and delivered accurately and on time. This role serves as a critical link between Sales, Production, Logistics, and Finance, ensuring order feasibility, tracking execution progress, and proactively resolving issues. Through effective cross‑functional coordination and data‑driven follow‑up, the Order Planning Specialist will support customer satisfaction, operational continuity, and overall business performance.

Key Responsibilities

  • Order Processing & Feasibility Review
    • Receive and review incoming customer orders to ensure accuracy, completeness, and feasibility.
    • Evaluate order requirements against production capacity plans and current manufacturing constraints.
    • Coordinate with Production, Sales, and relevant internal teams to assess order acceptance and propose viable solutions or adjustments when capacity limitations exist.
    • Communicate order review outcomes and feasibility feedback to the Sales team in a timely manner.
  • Order Tracking & Execution Management
    • Establish and maintain end‑to‑end order tracking processes from order receipt through production and final delivery.
    • Monitor key execution milestones, including daily production plans, work order completion, and finished goods shipment schedules.
    • Proactively communicate order status updates to Sales and internal stakeholders.
    • Identify potential risks such as delivery delays, product shortages, or logistics disruptions and issue early warnings with root cause analysis, corrective actions, and revised timelines.
    • Coordinate cross‑functional resources to resolve order execution issues and minimize customer impact.
  • Data Analysis & Reporting
    • Collect, analyze, and maintain order‑related data, including order volume, delivery lead times, exception rates, and product distribution trends.
    • Identify patterns, risks, and improvement opportunities to support sales strategy, production planning, inventory optimization, and customer satisfaction.
    • Prepare clear, accurate order performance and analysis reports, highlighting key metrics, gaps, and recommendations for improvement.
    • Present insights to management and relevant internal teams on a scheduled basis to support operational and strategic decision‑making.
  • Documentation & Cross‑Functional Collaboration
    • Maintain accurate, organized, and auditable order documentation, including contracts, order records, and change notices.
    • Ensure data integrity, traceability, and compliance with internal documentation standards.
    • Act as a central point of coordination between Sales, Production, Procurement, Logistics, and Finance to ensure alignment throughout the order fulfillment process.
    • Facilitate timely information sharing and collaborative problem‑solving to support smooth business operations.

Required Qualifications

  • Bachelor’s degree or higher in Engineering, Science, or a related technical field.
  • 1–3 years of experience in order processing, sales support, logistics coordination, or a related function, with a working knowledge of order management processes and standard operating practices. Experience in the photovoltaic or manufacturing industry is preferred.
  • Early‑career or recent graduates may be considered if they bring relevant internship experience, demonstrate strong performance, and show a high level of learning agility and adaptability.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Demonstrated analytical, problem‑solving, communication, and collaboration skills.
  • Strong organizational and time‑management skills, with the ability to manage multiple priorities in a fast‑paced environment.
  • Strong English communication skills, both written and verbal.

Preferred Qualifications

  • Experience in production planning, material control, or related functions within a manufacturing environment.
  • Working knowledge of production planning, warehousing principles, cost control, and material management processes.
  • Experience using enterprise or planning systems, such as ERP, MES, WMS, OPP, or similar business applications.
  • Proficiency in English (written and verbal); Mandarin language skills are a plus.

The range for this position is $63,000.00 - $86,625.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
