Role Purpose

To ensure the smooth and efficient operation of the office by managing administrative functions, facilities, and vendor relationships, while fostering a productive, well-organized work environment.

Key Responsibilities

  • Oversee office operations, including supplies management, facility maintenance, and vendor relationships, etc.
  • Manage office budgets, track expenses, and prepare related reports
  • Manage office communications, orientation, and seating arrangements for employees
  • Maintain custody of the company chop and support related processes
  • Organize the annual dinner and other office events and activities
  • Support meeting logistics in RHQ office areas or at offsite as assigned
  • Support US visa application process for employees as needed
  • Manage relationships with vendors such as canteen, real estate, housekeeping, security, and car rental companies
  • Support vendor negotiations by providing data to GSM and process vendor bills in coordination with Finance
  • Drive efficiency and cost optimization initiatives across office operations as well as employee satisfaction
  • Serve as a point of contact for internal and external stakeholders regarding administrative matters
  • Serve as the primary point of contact for Information Security and Data Privacy matters, supporting DARM processes and related initiatives.

Experiences/Education - Required

  • Bachelor’s degree
  • 8+ years of office administration experience
