Role Purpose
To ensure the smooth and efficient operation of the office by managing administrative functions, facilities, and vendor relationships, while fostering a productive, well-organized work environment.
Key Responsibilities
- Oversee office operations, including supplies management, facility maintenance, and vendor relationships, etc.
- Manage office budgets, track expenses, and prepare related reports
- Manage office communications, orientation, and seating arrangements for employees
- Maintain custody of the company chop and support related processes
- Organize the annual dinner and other office events and activities
- Support meeting logistics in RHQ office areas or at offsite as assigned
- Support US visa application process for employees as needed
- Manage relationships with vendors such as canteen, real estate, housekeeping, security, and car rental companies
- Support vendor negotiations by providing data to GSM and process vendor bills in coordination with Finance
- Drive efficiency and cost optimization initiatives across office operations as well as employee satisfaction
- Serve as a point of contact for internal and external stakeholders regarding administrative matters
- Serve as the primary point of contact for Information Security and Data Privacy matters, supporting DARM processes and related initiatives.
Experiences/Education - Required
- Bachelor’s degree
- 8+ years of office administration experience
