Scope of Position:

The Office Administrator, Global Government Affairs (GA) will work effectively with the Chief of Staff to manage day-to-day office operations, with a focus on processes and procedure-based Government Affairs priorities.


Day to Day Responsibilities:



• Coordinate and oversee office operations to ensure that the office operates efficiently and an orderly office environment is maintained

o Manage facilities-related local service contracts

o Manage office supplies and inventory and place orders as necessary

o Ensure all office equipment and spaces are in working order; coordinate service calls

• Lead coordination of office space allocation to ensure adequate space and suite access is available for employees, consultants, and visitors including o Conference room reservations

o Coordinate with EA to accommodate building, suite access, and office space for guests

o Maintain GA team calendar - noting guests, staff absence, or staff travel

• Lead coordination of office-wide events, including provide logistical and administrative event support, such as invitations/RSVP, catering, facilities management, set up, etc….

• Serve as the primary onsite liaison with building management

o Champion safety and compliance in the Washington, DC office.

o Manage and track work orders for building repairs and maintenance

o Staff parking

• Serve as primary liaison with Corning IT and assist staff with on-site IT needs, including maintenance of SharePoint files

• Other duties as required or assigned.



• Provide administrative support to GA executives including basic research, document formatting, calendaring group meetings, all aspects of meeting logistics, travel arrangements, and expense reports. Assist with other staff administrative issues, such as scheduling group meetings across time zones or event preparation

• In the absence of the EA, provide administrative support to VP Global Government Affairs

• Prepare for new hire onboarding, including space planning, IT, scheduling, and initial meetings

• In coordination with Federal Affairs staff, maintain and prepare documentations for quarterly Lobbying Disclosure Act for LD-2 filings



• Collaborate closely with Chief of Staff to manage and track the office budget. Prepare or assist with preparation of reports, budgets, and financial statements, including Corning GreenBook, BlackBook, and related budget adjustments o Process invoices and expenses in a timely manner; efficiently identify and resolve problems that arise

o Track expenses against budget and provide information for annual budget process as needed

o Generate purchase orders and lead procurement processes for new and existing suppliers o Identify ways to control costs and generate savings in purchased and contracted services

• Maintain organized electronic files for GA division budget, expense tracking, and contracts

Hours of work/work schedule/flex-time: • Monday – Friday 8:30 am – 5:30 pm


Required Education:

• Associate degree in business administration


Required Years and Area of Experience:

• 5 years of general administrative support and office management


Required Skills:

• Proficient in all Microsoft applications, especially Outlook, Word, PowerPoint and SharePoint, and Excel

• Exceptional level of attention to detail and organization

• Solid written and verbal communications skills

• Ability to anticipate and resolve issues efficiently
