Purpose of Position
Provides solutions to a variety of technical problems. Contributes to the completion of milestones associated with specific projects. Requires thorough understanding and application of standard theories, concepts, principles, and techniques
Key Responsibilities
• Visitors reception and coordination
- Be responsible for visitors reception and coordination, including but not limited to divisional, regional, global level or other high-level visitors.
- Plan and coordinate visit agendas, meetings, plant tours, meals, transportation, and other related arrangements based on visit purpose.
- Work closely with relevant departments to ensure thorough pre-visit preparation, on-site support, and post-visit follow-up for a smooth and efficient reception process.
- Respond flexibly to schedule changes or unexpected issues during visits and coordinate timely solutions.
• Secretary Support for Plant Manager
- Work as secretary support to the Plant Manager by assisting with calendar management, meeting scheduling, travel coordination, and other related administrative support.
- Support the organization of internal and external meetings involving the Plant Manager, including meeting invitations, document preparation, logistics arrangement, and follow-up actions.
• Plant Administrative Jobs
- Take charge of part of plant administrative operations to ensure smooth administrative services.
- Be responsible for the requisition, procurement, distribution, and daily management of office supplies, administrative materials, and related resources.
- Support the administration and maintenance of office areas, meeting rooms, and reception areas to ensure cleanliness, functionality, and proper readiness for use.
- Support continuous improvement of administrative processes to enhance efficiency and service quality.
• Employee Activities and Culture Support
- Organize or support employee activities, festive events, team building activities, and employee care programs for the plant.
- Support in planning and implementing culture-building and internal communication initiatives.
- Coordinate related resources to enhance employee engagement, sense of belonging, and overall employee experience.
- Provide administrative coordination and on-site support for major plant events, celebrations, and special programs.
• Other jobs assigned by manager.
Experiences/Education - Required
- Bachelor’s degree in Business Administration, Management, or a related field.
- At least 5 years’ customer reception experience in multinational companies
- Strong administrative management, meeting coordination, and overall communication skills.
- Familiar with senior visitor reception processes, meeting arrangements, and business etiquette.
- Strong planning, execution, and multitasking capabilities, with the ability to work efficiently in a fast-paced environment.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Fluent in both oral & written English.
